How to Make Clients Feel Looked After, Without Adding More Meetings
Care isn't measured in calendar invites. It's built in small, specific moments that show you're thinking about their business.
When agencies worry a client isn't feeling the love, the default answer is nearly always the same.
Add a meeting.
An extra check-in, a monthly catch-up, another call in the diary. And I understand the logic, but the reality is your clients don't want more meetings. Marketing Directors spend around 8% of their time with agencies, and they're drowning in internal calls and meetings already. Adding to that pile doesn't make them feel looked after. It makes them feel managed.
Because feeling looked after has very little to do with contact time. It comes from small signals that you're thinking about them when you don't have to be.
Let me give you some examples of what that actually looks like.
You send them an article or a competitor campaign with a two-line note: "Saw this and thought of your Q3 challenge. Worth two minutes." That's not a meeting. That's evidence you're carrying their business around in your head.
You remember what they told you was worrying them last month, and you follow up on it. "How did the board presentation go?" Tiny thing. Huge signal.
You flag something before they have to ask. A deadline risk, a budget update, a "you'll probably get asked about this internally, so here's a one-pager you can forward." Clients feel looked after when you make them look good inside their own business, and that costs you minutes, not meetings.
You give them time back rather than taking it. Ending a call twenty minutes early because everything's covered says more about your confidence than filling the hour ever will.
And when something goes wrong, you tell them before they find out. Nothing builds the feeling of being in safe hands faster than an agency that gets ahead of its own problems.
Notice the pattern in all of these. None of them are grand gestures, and none of them require a calendar invite. They're small, specific and personal, which is exactly why they land. Anyone can schedule a meeting. Not everyone pays attention.
The agencies that do this well have usually made it a habit rather than an accident. Some keep a simple note per client of what's going on in their world, personally and commercially, so these moments are easy to create. That's not being fake. It's being deliberate about care, which is what professionals do.
So here's my challenge for you this week
Pick three clients. For each one, do one small unprompted thing that shows you're thinking about their business, not just your deliverables.
No meetings. No decks. Just attention.
Because clients don't stay because you're always available. They stay because they feel understood, and that feeling is built in the smallest moments.
